EPFO Simplifies PF Records: Employees Can Now Remove Incorrect UAN-Linked Member IDs Online

In a major relief for millions of provident fund subscribers, the Employees' Provident Fund Organisation (EPFO) has introduced a new online facility that allows members to remove incorrect or duplicate Member IDs linked to their Universal Account Number (UAN). The latest move is expected to reduce complications related to PF transfers, withdrawals, and service history management.
Earlier, members could request the removal of only those Member IDs that had no provident fund contributions. Under the revised system, EPFO has expanded the eligibility criteria, enabling members to seek deletion of certain incorrect Member IDs even if limited PF contributions have already been credited to those accounts.
The initiative is particularly beneficial for employees who have switched jobs multiple times, worked with different employers, or faced data-entry errors that resulted in duplicate or incorrect Member IDs being attached to their UAN.
Why Duplicate Member IDs Create Problems
A UAN is designed to consolidate an employee's PF records under a single account. However, due to employer errors, multiple job changes, or incorrect data submissions, some members end up with duplicate Member IDs.
Such discrepancies can lead to several issues, including:
- Delays in PF transfer requests
- Problems during PF withdrawals
- Inaccurate employment history records
- Difficulties in tracking provident fund contributions
- Errors in service history displayed on the EPFO portal
By introducing a streamlined online de-linking process, EPFO aims to help members maintain accurate PF records and avoid future complications.
Documents and Requirements for Online De-Linking
EPFO has clarified that the entire process will be completed digitally through OTP-based verification. To use the facility, members must meet certain conditions.
Required details include:
- An active Universal Account Number (UAN)
- UAN login credentials
- Aadhaar-linked mobile number
- Aadhaar linked with UAN
- PAN linked with UAN
These verification requirements are intended to ensure that only genuine account holders can request changes to their provident fund records.
Cases Where Member ID Removal May Not Be Allowed
While the facility has been expanded, EPFO has also specified certain situations where de-linking requests may not be accepted.
A Member ID may not qualify for removal if:
- PF contributions have been deposited more than six times
- Any PF claim related to that Member ID is currently pending
- A claim has already been processed or settled
- Electronic Challan-cum-Return (ECR) records create verification conflicts
- System validation detects inconsistencies in employer submissions
In such cases, the request may either be rejected automatically or require additional scrutiny.
Step-by-Step Guide to Remove an Incorrect Member ID
EPFO members can complete the de-linking process through the Unified Member Portal by following these steps:
Step 1: Log In to the EPFO Portal
Visit the EPFO Unified Portal and sign in using your UAN and password.
Step 2: Complete OTP Authentication
Verify your identity using the OTP sent to your registered mobile number.
Step 3: Open Service History
Navigate to the “View” section and select “Service History.”
Step 4: Review Linked Member IDs
A list of all employment records associated with your UAN will appear on the screen.
Step 5: Select the Incorrect Record
Locate the Member ID that needs to be removed and click the “De-Link” option available next to it.
Step 6: Submit the Request
Choose the appropriate reason for removal, provide consent, and proceed with verification.
Step 7: Verify Through Aadhaar OTP
A second OTP will be sent to the mobile number linked with Aadhaar. Enter the OTP to complete authentication.
Step 8: Final Submission
After successful verification, the request will be submitted for processing.
When Employer Approval Is Required
EPFO has stated that if the Member ID has received contributions only once or twice, the removal request can proceed after employer approval.
Once approved, the Member ID will be detached from the UAN and will no longer appear in the member's service history.
Requests That Will Undergo Additional Scrutiny
Certain cases will be forwarded to EPFO's regional offices for detailed examination.
Additional review may be required when:
- The employer rejects the request
- No employer response is received within two weeks
- The Member ID has received more than two but fewer than six PF contributions
- Record verification raises compliance-related concerns
In such situations, the request will move through multiple levels of scrutiny, including compliance officers, section supervisors, and senior EPFO authorities.
